Simple Pro (“we,” “us,” or “our”) operates the Simple Pro platform, including our website at simplepro.app and the SaaS application at app.simplepro.app (collectively, the “Service”). This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our Service.

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with our practices, please do not use the Service.

2. Information We Collect

2.1 Information You Provide

  • Account information: Name, email address, phone number, and business name when you create an account.
  • Business data: Job information, customer records, estimates, invoices, and payment details you enter into the platform.
  • Customer data: Information about your end customers (name, phone, email, address, job details) that you provide or that is collected via Belle AI on your behalf.
  • Payment information: Billing details processed through Stripe. We do not store raw card numbers.
  • Communications: Messages, support tickets, and other correspondence you send us.

2.2 Information Collected Automatically

  • Usage data: Pages visited, features used, timestamps, and interaction events.
  • Device data: IP address, browser type, operating system, and device identifiers.
  • Call data: Phone call logs, recordings, and transcripts generated by Belle AI when customers call your business number.
  • Cookies: Session cookies for authentication and analytics cookies (see Section 7).

2.3 Information From Third Parties

  • Google: Calendar events and account profile when you connect Google Calendar.
  • QuickBooks: Accounting data when you connect your QuickBooks account.
  • Stripe: Payment status and transaction confirmations.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service, including AI-powered call answering via Belle.
  • Process and manage job bookings, estimates, invoices, and payments.
  • Sync data with connected third-party services (Google Calendar, QuickBooks, Stripe).
  • Send transactional communications (booking confirmations, payment receipts, SMS notifications).
  • Power AI features, including call transcription, sentiment analysis, and automated follow-ups via OpenAI and ElevenLabs.
  • Improve the Service through analytics and product research.
  • Respond to customer support inquiries.
  • Comply with legal obligations and enforce our Terms of Service.
  • Detect and prevent fraud, abuse, and security incidents.

4. How We Share Your Information

We do not sell your personal information. We share data only in the following circumstances:

4.1 Service Providers

We share data with trusted third-party providers who help us operate the Service:

  • Supabase — Database hosting and authentication.
  • Stripe — Payment processing and billing.
  • Twilio — Phone calls and SMS messaging.
  • OpenAI — AI conversation processing for Belle.
  • ElevenLabs — Text-to-speech for Belle’s enhanced voice (Premium plans).
  • Google — Calendar integration and review automation.
  • Intuit (QuickBooks) — Accounting integration.
  • Wisetack — Customer financing options.
  • Vercel — Application hosting and edge delivery.

4.2 Legal Requirements

We may disclose information if required by law, subpoena, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, the safety of others, or to investigate fraud.

4.3 Business Transfers

If Simple Pro is acquired, merged, or undergoes a substantial asset sale, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on the Service before any such transfer.

5. Data Retention

We retain your account data for as long as your account is active or as needed to provide the Service. If you cancel your account, we retain your data for 90 days to allow reactivation, after which it is deleted from active systems. Backups may persist for up to an additional 30 days.

Call recordings and transcripts are retained for 12 months by default. You may request earlier deletion by contacting us.

We may retain certain data longer if required by law or for legitimate business purposes (e.g., resolving disputes, preventing fraud).

6. Your Rights and Choices

Depending on your location, you may have the following rights:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data (subject to legal obligations).
  • Portability: Request your data in a portable format.
  • Opt-out: Unsubscribe from marketing emails at any time using the link in our emails.

7. Cookies

We use cookies and similar tracking technologies for authentication, security, and analytics. You can control cookie settings through your browser. Disabling cookies may affect the functionality of the Service.

We use Crisp for live chat support, which may set its own cookies to manage chat sessions. Crisp’s privacy policy is available at crisp.chat/en/privacy.

8. Data Security

We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, role-based access controls, and regular security audits. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

9. Children’s Privacy

The Service is not directed to children under 13 years of age. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us and we will delete it promptly.

10. International Users

Simple Pro is operated from the United States. If you access the Service from outside the US, your data will be transferred to and processed in the US. By using the Service, you consent to this transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Service at least 14 days before the change takes effect. The “Effective date” at the top of this page indicates when the policy was last revised.
